Terms & Conditions

Before you embark on your journey with us, it's important to familiarize yourself with our terms and conditions. These guidelines outline the agreements and obligations between you, our valued client, and Modern Tours & Travels. From travel documents and ticket fees to hotel accommodations and tour cancellations, our terms and conditions ensure clarity and transparency in every aspect of your travel experience. Please take a moment to review these terms carefully to ensure a smooth and enjoyable journey. If you have any questions or need further clarification, our team is here to assist you every step of the way.

- Cancellation & Refund Policy:

A cancellation charge of INR 1,00,000/- will apply. Additional charges may be incurred if any services (such as airline deposits, ticket issuance, hotel reservations, etc.) have already been arranged on behalf of the pilgrim.

Once the visa is approved, no refund will be provided.

Refunds are only applicable if the pilgrim’s funds are still in our bank account and have not been transferred to Saudi Arabia for Haj tour proceedings.

If the funds have already been remitted to Saudi Arabia, refunds will be processed only after the amount is returned by the relevant Ministries, as they act as intermediaries.

- Quota Allocation:

Our Haj tours are strictly subject to quota allocation by the Government of India and the Kingdom of Saudi Arabia. In the event of a quota reduction, bookings will be prioritized on a first-come, first-served basis. Tours will be conducted based on the revised quota availability and situation. Any remaining bookings will be automatically deferred to the following Haj season.

In cases where no quota is allocated, the entire tour will be cancelled and all bookings will be deferred to the next Haj year. Pilgrims who do not wish to defer their journey will be eligible for a full refund in accordance with our official refund policy.

- Travel Date Disclaimer:

Please note that the specified travel dates may vary by ± 3 to 4 days due to factors such as airline schedule changes, delays in quota allocation, visa processing, hotel availability, etc.. In rare and unavoidable circumstances, group departures may be extended by up to 15–20 days.

- Visa issuance:

Visa issuance is strictly subject to approval by the Saudi Embassy and the Nusuk Portal. We are not responsible for any delays, rejections, or errors arising from their end during the visa issuance process.

- Tour Program Changes:

We reserve the right to modify any part of the tour itinerary, either before or during the journey, without prior notice. No claims or refunds will be entertained for such changes, as they may be necessitated by operational or unforeseen circumstances.

- Immigration & Health Advisory:

We shall not be held responsible if any pilgrim is denied boarding in India or deported by Saudi immigration due to health conditions, infectious diseases, or any other reason beyond our control. In such cases, no refund shall be applicable.

- Force Majeure & Tour Disruptions:

We shall not be held liable if the tour is rescheduled, cancelled, or altered due to unforeseen circumstances, including but not limited to quota issues, flight or bus delays/cancellations, hotel unavailability, natural disasters (e.g., flood, storm, earthquake), pandemics, strikes, war, new legal regulations, or any other force majeure events. In such cases, no refunds will be issued and no claims will be entertained.

- Liability Disclaimer:

We shall not be held responsible for any loss or damage incurred during the tour due to accidents, incidents, loss of luggage or valuables, or death.

- Laundry Service Disclaimer:

We are not responsible for any loss, delay, damage, colour fading, stains, or shrinkage of clothes caused by the laundry service during the tour.

- Accommodation Clause:

If the requested room configuration for 2 or 3 beds (as paid for) cannot be provided immediately for any reason, Pilgrims will be accommodated temporarily in larger rooms (e.g., rooms with 4 or more beds) on a shared basis with other Pilgrims. No partial refund will be issued for this temporary arrangement. However, if the requested 2/3 bed accommodation cannot be provided at all during the stay, the difference in the amount paid by the Pilgrim will be refunded.

- Room Allotment:

Rooms will be allotted according to our arrangements, with ladies and gents accommodated separately. Pilgrims who wish to stay together with their families must select the separate room option and pay the corresponding package cost.

- Room Service:

Room service in Azizia or similar areas differs from that in hotels of Makkah and Madinah. Bed sheets will be changed only once or twice during the stay. Towels, toiletries, and Wi-Fi may not be provided in some accommodations.

- Bathroom Facilities:

Most hotel bathrooms feature Western-style toilets; Indian-style squat pans are rarely available.

- Guests and Relatives:

Guests and Relatives of Pilgrims are not permitted to eat or stay with the group, as this is prohibited by the Haj Ministry laws of the Kingdom of Saudi Arabia (KSA)

- Partly utilized :

Partly utilized services will be considered fully utilized; no refunds will be provided under such circumstances.

- Carrying illegal :

Carrying illegal drugs or narcotics such as opium, ganja, poppy, or any indecent materials (photographs, books, pamphlets, CDs, etc.) is a criminal offense and strictly punishable by the Saudi Government

- Foreign exchange:

Foreign exchange in Saudi Riyals or U.S. Dollars can be purchased under the Liberalised Remittance Scheme (LRS).

- The package cost:

The package cost is based on the SAR to INR exchange rate of 22.69 as on 02ND JUNE 2025. Inflations in Saudi Riyals, Airfare, Hotels, Visa charges or introduction of new taxes or service charges in India or Saudi Arabia will be charged additionally to the pilgrims

- Rawdah permit :

Rawdah permit availability is subject to allocation and cannot be guaranteed.

Indian and Saudi Arabian laws govern all pilgrims. Any disputes related to the tours shall be subject to the exclusive jurisdiction of the courts in Kolkata.

In all these years we have always offered accommodation very close to both the Harams and started catering three meals to Pilgrims. We have always given what we have promised or uttered. Those who have joined us bear testimony to our services.

We have never been in race of becoming first nor need to prove our professionalism as our work itself speaks volumes of our achievements. We have never boasted of introduction of services, our hospitality or its achievements or awards received for the service to Pilgrims. We believe that service to Pilgrims is obligatory and a must because they are The Guest of ALLAH.


We manage and conduct economy and deluxe Haj packages and we also arrange tailor-made packages for the pilgrims as per their requirement. We have served the Indian pilgrims numbering in hundred thousands in Umrah & Hajj since our establishment.
